YuJa Media Management and Content Clean-Up

You can manage and maintain your media content within the YuJa platform using tools available in Manage Media. These tools allow you to edit, share, download, delete, and restore video content as part of regular course maintenance. To keep your account organized and avoid outdated references in your courses, instructors are encouraged to only keep active course content for the current semester in YuJa. Content that is no longer being used should be downloaded and removed from YuJa.

This article will outline how to do this while preserving files you may need later.

  1. Identify unused files: Review your media’s upload date, last modified date, and number of views to determine which files are no longer actively used and can be deleted. 
  2. Download files you may need later: Download copies of content you want to retain for future use. Files can be stored locally on your computer or uploaded to OneDrive cloud storage for safekeeping.
  3. Delete files from YuJa: After confirming successful downloads of your videos, delete them from your YuJa media library. Optionally, you can empty your Recycle Bin to free up space immediately.
YuJa Quota Information: Like many other systems on campus, your YuJa account includes a fixed amount of storage space. The total available to each user depends on their role in Blackboard: Instructors may use up to 150 GB, and students can use up to 10 GB.

Download Media

Once unused files are identified, you can download and store them for later use. Downloading content helps conserve YuJa storage and ensures you remain within your quota. There are two options for downloading your files:

  • One at a time: Quickly download individual videos.
  • In bulk: Quickly select and download multiple files at once from the Manage Media screen. This process can also be used for publishing or sharing content in bulk.

Optional: Archive and Share Downloads

After downloading media files from YuJa, you may upload them to OneDrive cloud storage and then remove the local copies from your computer. Files stored in OneDrive can be shared via direct links, with full control over viewing, editing, sharing, and download permissions. Downloaded content can be re-uploaded to YuJa at any time if needed.

Note: UND faculty, staff, and students receive 1 TB of OneDrive storage as part of their Microsoft 365 suite.

 

Delete Media

Now that you have backed the videos up, you can delete them from your account in YuJa. Deleting content in YuJa is a two-step process to prevent accidental content loss.

  • Delete Files from My Media: After you confirm the files have downloaded successfully, you can delete them from your My Media folder in YuJa. Hover over a video thumbnail, select Delete, and confirm. The file will be moved to your Recycle Bin for 30 days and is no longer accessible in your courses.
  • Restore or permanently delete files: Click your avatar image at the upper-right of your screen and select My Account. Then, click Recycle Bin from the menu on the left to view your 'deleted' files. Hover over the video thumbnail to restore the files to your regular folder or permanently delete them. Items in the Recycle Bin continue to count toward your storage quota until permanently removed.

Check Storage Usage

To check your account’s storage usage, follow these steps:

  • Click on your avatar image at the upper right of your screen. Select My Account.
  • Expand the My Profile navigation on the left side of your screen.
  • Select Storage Usage.

This will show you the total storage used and available. 

Restore Files from YuJa Archive

Cloud storage in YuJa is limited — to help manage available space, items stored in YuJa but not in regular use may be subject to our regular archive process. Please see the information below to learn more about which items are selected, and how instructors can restore their files to active storage, if needed.

Frequency:

Archiving typically occurs approximately six weeks after the end of each semester.

Conditions:

Content may be archived if it meets the following criteria:

  • Instructor media: Recordings have had no views for two years. 
  • Student media: Recordings will be kept for the duration of the semester in which they were recorded plus one additional semester. 

Additional Notes:

  • Notification: Instructors will receive an email notification when their content is archived. If you would like to restore any of the affected recordings, please follow the instructions below.
  • Links: Links to archived videos (including Blackboard links) will break. However, links will be automatically repaired if the content is restored. 
  • Permanent deletion: Archived instructor and student content will be permanently deleted after one year if not restored.

Restore Your Content from YuJa Archive

Users can restore content to its previous location in My Media, if needed. 

  1. Log in to und.yuja.com, and click the Manage Media link at the top of the page. This will open a page containing all of the media files that you own. 
  2. From the Manage Media page, click on the Himalayas Archive folder to see all archived media.Himalayas Archive Folder in Manage Media
  3. Locate the item you would like to restore.
  4. Hover over the video thumbnail, and select Restore to move it to your active storage.   5. For multiple files, use MORE ACTIONS > SELECT ALL to select everything on the current page. Then, click MORE ACTIONS > BULK RESTORE to return items to active use.                                                                                                             Bulk restore videos in YuJa.
  6. Recordings will be restored to your My Media folder. Please note: Restoration may take 2–4 days, depending on system load.
