When Scheduling Your Meeting

Use only an automatically generated Meeting ID.  Never use your Personal Meeting ID, it would be like handing out your personal cell phone number

Add a passcode to your meeting.  This will prevent bots and unwanted attendees from stumbling into your meeting.  Using the Zoom generated passcode is fine in most cases, but feel free to use a more complex one if you like. 

Enable Waiting Room.  This option allows you to decide who and when you will allow entry into your meeting.  Attendees will join the meeting’s waiting room initially and will not be able to interact with other attendees until you choose to admit them.

  • Do not enable Allow participants to join anytime, this allows people to start your meeting and run amok until you join.
  • Do enable Mute participants upon entry.  This will make participants silent initially, but you will still need to take away their option to unmute after the meeting begins.
  • Assign Alternative Hosts (co-hosts).  Add the email addresses of anyone that will be speaking or sharing their screen during your presentation.  Please note that only people with accounts activated at und.zoom.us can be listed as alternative hosts.  Also, all hosts must join the meeting using the Zoom app, having logged in using the Sign In with SSO option in order to be recognized as hosts.

After Starting Your Meeting

Before you admit any attendees into your meeting, make sure you limit the Share Screen options in the Advanced Sharing Options… control panel.

  • For the option of How many participants can share at the same time?, select One Participant can share at a time.
  • For the option of Who can share?, select Only Host.

Selecting these options will prevent attendees from taking over the screen share video and sending unwanted images to other attendees.

From within the Security option,  check/uncheck the following options as desired:

  • Lock Meeting: Locks the meeting, keeping new participants from joining the meeting.
  • Enable Waiting Room: Enables the waiting room for incoming new participants or to move current participants into the waiting room.
  • Hide Profile Pictures: Hide all profile pictures, including the host.  Display names are shown instead.
  • Share Screen: Allows participants to share their screens.
  • Chat: Allows participants to use the chat function.
  • Rename Themselves;  Allow participants to rename themselves from the Participants panel.
  • Unmute Themselves; Allows participants to unmute themselves without the host's permission.  Note: The host, any co-hosts, and any language interpreters are exempt from this. 
  • Start Video*: Allows participants to start their video in the meeting.
  • Annotate on Shared Content: Allows participants to annotate over content shared during the meeting. This option is is only available when the host or co-host is sharing. 
  • Share Whiteboards: Allows participants to open and share a Zoom Whiteboard. 
  • Share Notes: Allows participants to open and share Notes. 
  • Request Local Recording Permission: Allows participants to request permission to record locally to their device. 
  • Request Host to Start Cloud Recording: Allows participants to send a request to the host to start recording to the cloud. 
  • Collaborate With Zoom Apps: Allows participants to view and work collaboratively with a Zoom App. 
  • Set Meeting Timers: Allows participants to set a meeting timer.
  • Remove Participant: Allows the removal of a participant from a meeting. The participant can not re-join unless Allow removed participants to rejoin is enabled in Meeting settings.
  • Suspend Participant Activities: Turn off all participant's video, audio, Zoom Apps, and ability to share their screen. Also lock the meeting to prevent participants from joining. This will apply to all participants, including those joined using a Zoom Room.

In-meeting security settings overview: 

When in a meeting, the host or co-host can check what security settings were enabled for this meeting. These settings cannot be changed, but are meant to provide quicker and easier access to this information. To access this list: 

  1. Start a Zoom meeting as the host or co-host.
  2. Tap the green encryption icon  at the top of the video window. 
  3. Tap Security Settings Overview
  4. A window will open, listing all settings related to meeting security and if they are currently enabled for this session. 

After setting these options, you can admit attendees from the waiting room by selecting the Admit button that shows up when you hover your mouse pointer over their name.
