About Zoom Webinar Licenses
You will need to request and have a webinar license confirmation before you are able to convert your meeting to a webinar.

Standard Zoom meeting room capacity is 300 video participants.
To use UND’s Zoom web collaboration platform to host 500 or 1000 seat webinars, faculty and staff can request a “webinar” license from the UND Zoom administrators.
Webinars differ from meetings in the following ways:
- Host can assign up to 50 video panelists
- Host must specifically turn on audio/video for attendees
- Attendees cannot share their screens
- No breakout rooms
- Question & Answer (Q&A) tool

Webinar attendees receive video and audio content by default but cannot share their video or audio unless the host promotes them to “Panelist”, for more see the Zoom Help Center’s Promote Attendee.
Requirements for Using a Webinar License
- Must Have a UND Zoom Account: Only users with a valid UND Zoom account are eligible to request and use a webinar license.
- Advance Notice: Submit your request at least 48 hours in advance due to limited availability.
- Event Duration: Due to the limited number of licenses, the webinar license is available for a few days per request to ensure fair access for all users. If your event spans multiple days, please specify the required dates in the Additional Details field when requesting the license.
Why Use a Webinar License Instead of a Zoom Meeting?
- Large Audience: If your event will have more than 300 participants, a webinar license is necessary to accommodate up to 500 or 1,000 attendees.
- Controlled Interaction: Webinars allow you to have more control over who can speak and share video, which is ideal for large, formal presentations.
- Panel Discussions: Webinars are great for events where you need to manage multiple presenters (up to 50 panelists) while keeping the general audience in listen-only mode.
- Q&A Management: The built-in Q&A tool in webinars is ideal for managing questions from a large audience in an organized manner.
UND Zoom administrators may not be able to apply the webinar license to your account until the day of your event. If this is the case, you are able to create a meeting and send out the meeting invitations ahead of time to your participants. When your webinar license gets applied, you are able to convert your meeting to a webinar.
Step 1: Request the Webinar license
Due to the limited number of “webinar licenses” available, UND Zoom administrators may not be able to apply the webinar license to your account until the day of your event. Please submit your request at least 48 hours in advance.
- If you are requesting a Zoom webinar license for an event that lasts longer than one day, please use the Additional Details field to outline the days required. Please note that the license is only available for a one week lease per request.
Step 2: Create a Meeting and Invite Guests

Step 3: Await Webinar License Confirmation
Confirmation will be emailed from the UND Zoom administrators.
Step 4: Convert Your Meeting to a Webinar
You will need to have the webinar license applied first before you are able to convert your meeting to a webinar.
When your webinar license gets applied, you are able to convert your meeting to a webinar, using the following steps. All of the links, settings, and data related to the meeting will be retained when it’s converted into a webinar – only the features will change.
- Sign into the UND Zoom Portal https://und.zoom.us.
- Click on Meetings.
- Locate the meeting that you will convert to a webinar.
- Click on the hyperlink topic name.
- Scroll to the bottom of the page right below “Poll” and “Live Streaming” options.
- Click “Convert this Meeting to a Webinar”.
After the Webinar
After you have completed your webinar, but before you relinquish the license, be sure to run any reports you will need. These will not be available from your account after you have returned the license.
