With the old system, we dial *7 to pick up a user’s phone. With Avaya Cloud Office, we use presence key to allow you to pick up each other’s calls

Using any browser, go to https://login.cloudoffice.avaya.com/. Login in to your web portal using your SSO login.

Once logged in, you will see the page below. Click Settings.

Click Device & Numbers menu

Then click Presence

A pop-up window will appear. In this section there are two things that you can do:
- Appearance tab is where you add users that you want to pick up their calls. To do this:
- Step 1: You have the option to make your phone ring or flash
- If you want your phone to ring whenever someone calls the person you have a presence key added to your phone, click the box that says “Ring my phone when any user I am monitoring rings”
- If you just want the line key to flash instead of ring, leave the "Ring my phone when any user I am monitoring rings" uncheck

- Step 2: Click any line that says Assign Extension to add an extension.

- Step 3: A pop-up window will appear.
- 1. Using the search field, type the name or the extension of the user that you would like to add to your presence list.
- 2. Click the search icon
- 3. Select the user by clicking the radio button beside the name of the user
- 4. Click Assign

- Step 4: User is now added to your presence.

*Repeat Steps 2 – 4 to continue adding users before moving to Step 5.
- Step 5: Scroll down and click Save.

It will prompt you that your phone will reboot. Click Yes.

NOTE: To complete the process, contact the user and ask them to add you on the list of users that who can pick up the calls for them.
- Permissions tab is where you will add users that you allow to answer your calls.
- Click the Permissions tab. Under “Select users permitted to answer my calls”
- 1. Type the extension number or name of the user you want to allow to answer your calls.
- 2. Click the search icon
- 3. Select the user’s name.
NOTE: If you are adding more than one user, repeat steps 1 through 3.
